Newly employed

Staff account
Employees at Linnaeus University need a staff account to access the university's services and systems, the staff account is ordered by your contact person or by your immediate manager.
Primula - salary, flex, allowances, leave
Employees at Linnaeus University use the system Primula for matters related to their employment. This is where you can see your payslip, report, any flextime and report sick leave or apply for leave as well as reimbursement for expenses and travel. You can access Primula from the Staff front page or directly via a link to Primula.
Computer
As a new employee, you will be given a computer that you pick up from the IT department, or your mentor has already booked a start-up meeting with IT to connect your computer and get started. Staff page - IT support for staff.
Telephone
Linnaeus University's telephone solution includes an app, Telia Touchpoint Plus, which you can use on your computer or phone. In the app, you can easily refer yourself, connect calls to colleagues, chat, search for colleagues and see their status in the company directory and more. If you need a phone, check it with your manager before placing an order. The phone is then picked up at Infocenter.
Keys, access cards and copy cards
You order an access card/copy card yourself via Self-service Easit to gain access to the university's premises. The card is also used as a copy card for the university's printers.
If your office is in Kalmar, you can also open your office and other premises with your access card.
If your office is in Växjö, you need a key to unlock your office. Keys are ordered from the immediate manager or the person in charge at the Faculty Office. Staff page - Keys and access cards
Order printing
The university has a Copycenter where you as an employee can order prints, enlargements, printing of teaching materials and more.

Self-service Easit - fault reporting, questions and orders
In the self-service portal Easit , you can place orders, ask questions and make error reports, as well as follow your case.

Infocenter and shop
Infocenter is one of the university's hubs which students, visitors and staff can turn to for information and service.
If you are in need of office supplies, promotional products and more, there is a shop in Infocenter both in Växjö and in Kalmar.

Staff room and refreshments
You will meet your closest colleagues and others at the faculty in our common staff room on floor 1 in building K, Växjö or floor 3 in building Forma, Kalmar. Usually, colleagues have coffee sometime between 9.30-10.00 in the morning and 14.30-15.00 in the afternoon.

Being a civil servant at a government agency
Linnaeus University is a government agency and all employees at the university are government employees.
To work in the public sector is to work in the service of the citizens. As a government employee, you have both rights and obligations as well as special benefits.
Working in the public sector also means that we carry out activities that apply the laws and regulations decided by the Swedish government and the parliament. Anyone who works at a government agency should be aware that the citizens of Sweden, via the parliament and the government, are clients and that the activities are financed with tax revenues.
Online training
If you are employed at the School of Business and Economics, you should complete the online training
"Our mission that clarifies the role of a government employee".
The Swedish Agency for Public Management (Statskontoret) has also developed an introductory course for central government employees. The training provides basic knowledge of what is common to all those working in central government.
Core values for all government employees
There is a common set of values for the entire government sector that is based on laws and ordinances. The common core values for government employees are based on six principles:
- Democracy: All public power emanates from the people.
- Legality: Public power is exercised under the law.
- Objectivity and equal treatment: Everyone is equal before the law. Authorities and courts should treat everyone equally.
- Freedom of opinion: Swedish democracy is based on the free formation of opinions.
- Respect: Public power must be exercised with respect for people's freedom and equal value.
- Efficiency & Service: The business should be run as cheaply and with as high a quality as possible with given resources.
The principle of public access to official records
The principle of public access to official records is central to the Swedish legal system. This means that the general public and the media have the right to access official documents, with the exception of confidential information.
A public document means any document, printed or electronic, that is stored by a public authority, and has been received from outside or drawn up within the authority. A document is public if it has been drawn up at, sent out from or received by the authority. The document must be kept at the authority. A public document can be a text, image, tape recording, film or other information that has been stored in a computer, for example. The main rule is that public documents are public and that everyone should be able to access them.
A person requesting access to an official document does not need to say their name or what the document will be used for. In addition, the document must be disclosed promptly.

Exercise of public authority in accordance with the rule of law
The rule of law is fundamental to all state activities. Citizens must be able to trust that the decisions made by the authorities are based on the laws in force. They must also be sure that everyone is treated equally before the law and that authorities are objective and impartial in their assessments and decisions.
You are therefore obliged to comply with rules on conflict of interest, secondary employment and public procurement.
Rules on conflict of interest
Rules on conflict of interest guarantee that the processing by the authority is characterised by objectivity and objectivity. If you are handling a case, you have a conflict of interest if, for example, the matter concerns you or someone close to you.
Another example of when you have a conflict of interest is if the outcome of the case can be expected to bring particular benefit or harm to yourself or someone close to you. There are more occasions when you may have a conflict of interest. Staff page - Rules on conflict of interest
Secondary occupations
As a public authority, it is important to be objective in relation to the citizens, which is why government employees may not engage in secondary occupations that undermine trust, i.e. engage in activities outside of their employment that could undermine confidence in impartiality or damage the authority's reputation. Nor is it permitted to have secondary occupations that hinder work or are competing. All employees must report annually whether they have a secondary occupation or not. This is done no later than 10 January each year via the Primula payroll system.

Purchasing - The Public Procurement Act
The purchase of goods and services must be made in a lawful, businesslike and efficient manner. Purchases are made by calling off or ordering from an existing agreement. If there is no agreement for what you need, you should instead make a procurement. For more information, see the tab on Purchasing.
Rules, governance and decisions

Governing documents, policies and procedures that apply at the School of Business and Economics can be found on the Staff page - The School of Business and Economics governing documents.
Decisions made at the School of Business and Economics follow the delegation of authority and are normally made on Mondays at 09:00-09:30 at the Dean's and Heads of Department's decision meetings. Decisions to be made must be entered in the W3D3 register no later than 9:00 on Friday one week before the meeting. The contact person is Faculty Secretary Catarina Gaunitz.

Medarbetare/Staff
Medarbetare/Staff refers to Linnaeus University’s intranet, which serves as the primary communication channel. To access all content, you need to log in using your staff account.
You can customize Medarbetare/Staff according to your preferences. For instance, you can choose which groups you want to be part of and create shortcuts to web pages and tools.

At Linnaeus University, there are several internal employee groups that can be beneficial for your work. As an employee of the School of Business and Economics (Ekonomihögskolan), you will automatically be added to the following groups:
- The staff group Linnaeus University, with general information.
- The staff group at the School of Business and Economics, with information concerning the faculty.
Each department and the Faculty Office also has its own Staff group where your immediate manager publishes weekly newsletters and other important information.
Faculty meetings, Faculty Conference and Christmas party
At the School of Business and Economics four faculty meetings are held during the year where the dean and management provide information about the faculty's activities. Everyone is expected to participate and receive the invitation via the Outlook calendar. Notes from the meeting are presented in the Staff Group School of Business and Economics and are collected on the Staff page - Meeting, groups and councils/ Faculty meeting.
- The meeting in March is a conference where the entire faculty meets and discusses selected themes, usually Tuesday-Wednesday or Wednesday-Thursday in week 11.
- The meeting in May are usually held digitally via Zoom.
- The meeting in September is usually held digitally via Zoom.
- The meeting in December is usually held physically on site. In connection with the Faculty meeting in December, the faculty's joint Christmas party will also be held.

Ladok
Ladok is the university's study register that contains individual information about all students in undergraduate and postgraduate education. Ladok contains information about admissions, registration, results and degrees.
Ladok is also the Linnaeus University's education database that serves as a system support for establishing and revising course and programme syllabi.

NyA and NyA-webben
NyA is a national admissions system that the country's universities and colleges use to carry out the work within an admission round.

Moodle
Moodle is the learning platform used at the Linnaeus University, which is the digital class room where students and teachers meet. Here you will find tools for information, communication and collaboration. Staff page - Moodle learning platform.

Survey & Report
Survey & Report is the survey system that can be used by staff at the Linnaeus University for both research surveys and other types of surveys. The system has also been developed to be used for automated course evaluations.

Employment, salary and conditions
Information about rules, procedures and rights for employees at the university can be found on the Staff page - Employed at Lnu.
At the Linnaeus University there are two local working time agreements, one for teachers and one for technical/administrative staff.
As a government employee, you will receive extra vacation days, extra compensation for illness and parental leave, a transition agreement, some compensation for medical care and medicines, and generous leave terms. In addition, the university offers you wellness reimbursement.

Work environment and health
The School of Business and Economics shall offer a good working environment for students and staff. At the Linnaeus University and the School of Business and Economics, there is zero tolerance for discrimination, harassment and other types of violations.
The School of Business and Economics has developed a common code of conduct that highlights how we safeguard a good work environment characterised by academic freedom and respect for each other.

The Swedish work environment legislation is based on the employer being responsible for the work environment and collaborating with its employees to achieve a good work environment. At the Linnaeus University, the vice-chancellor is responsible. The Vice-Chancellor can allocate tasks in work environment management to managers at different levels, such as the dean, head of department, head of office and head of division.
Safety representative
The employees' representatives are the safety representatives. There are several safety representatives that everyone at the School of Business and Economics can turn to, regardless of which department/office or location you work at.

At the School of Business and Economics, all managers, safety representatives, student safety representatives and union representatives meet regularly in a work environment meeting that discusses issues that affect the entire faculty.
Occupational health
The Occupational health service assists the university in preventive work environment management and is also a resource in connection with work-related illness and rehabilitation, as well as in crisis situations. Occupational health services include occupational health doctors, occupational health nurses, psychologists, ergonomists, behavioural scientists and safety engineers.
Falck is Linnaeus University's provider of Occupational health care. Individual employees have the right to contact Falck on their own for three sessions during a year with an occupational health nurse, behavioural scientist or psychologist. These contacts can take place without the responsible manager or the HR department being aware of them. In such cases, the employee will contact Falck via a function email.

At the Linnaeus University, you have the opportunity to use a resting room for temporary rest. The School of Buisness and Economics resting rooms are located in Forma in Kalmar and in the K-building in Växjö.

You have a Staff page that appears on Medarbetare/Staff and Lnu.se, which is what comes up when someone searches for your name. Some things are available automatically and some things you can add yourself, such as the text about you and the link to your publications.
Remember that the page needs to be updated in both Swedish and English.

Templates
The university has several document templates for letters, minutes, essays, and more. You will find all available templates and more information on the Staff page - Templates.
For the School of Business and Economics, there is a specific PowerPoint template with AACSB's logo on it, which you can find on the Staff page - Communication support for the School of Economics and Management.
Infocenter and Butiken, the shop
Infocenter is one of the university's junction where students, visitors and staff can turn to for information and service. Staff page - Infocenter.
The shop in Infocenter provides you with notepads, pens and other office supplies. Staff page - Butiken
Infocenter and Butiken are located in both Kalmar and Växjö.
Purchasing
When you are going to buy goods and services, you must use the suppliers with whom the Linnaeus University has an agreement. If you need to order books or other things, there are framework agreements for the most common purchases and orders.

Remember that all purchases must be checked with your immediate manager before you place an order.
As a rule, purchases must be made against an invoice. When ordering, always state the reference code (four digits) and the reference name (your name).

When an invoice is due, you will receive an email from UBW Automail Unit4 Business Word (Agresso). Log in and click on the number at the top of the page to see your cases. Please check if anything is missing before you can approve or send it back to the distributor.
If the purchase must be paid directly by credit card, contact the School of Buisness and Economics controller for more information.

IT support, ICT and digital tools
The School of Business and Economic's ICT pedagogue is happy to help you if you need help with development/other support in teaching.
BusinessLab - premises that enable and invite interactivity, mobility and creativity.
IT support - if you are in need of IT support, please contact central IT, where you will find information about how to work remotely.
New equipment - if you need a new computer or other equipment, contact your immediate manager for approval. You can then order new IT equipment via the self-service portal.
Communication and web
The School of Business and Economic's communication group EKOM
The School of Business and Economic has its own communication group, EKOM, which mainly works with internal communication, such as Medarbetare/Staff groups and Medarbetare/Staff fixed pages. EKOM is also in charge of the School of Business and Economic's pages on lnu.se in collaboration with the Communications Department. EKOM also works with various meetings and events such as Faculty meetings and the School of Business and Economic's yearly conferens.

The Central Communications Office supports the School of Business and Economics with a KOM partner who acts as support in management communication and strategic communication issues.
Research communication
Questions about research communication, for example when starting new projects, are sent to the Communications Office's research communicator with responsibility for the School of Business and Economics.

Food, coffee and entertainment
When you order food or coffee, you must use the University's procured agreement. Before ordering, you should read the university's representation rules. Staff page - Food and coffee
Representation is a collective term for activities that are carried out to promote the University's activities and that include food, drink, gifts and the like. All representation must be used judiciously and must have a direct connection with the University's activities.
External representation is aimed at external actors such as other higher education institutions, organisations or companies. All representation must be directly related to and be of benefit to the University's activities, which must be stated in the purpose.
Internal representation refers to meals that are aimed at the employees and have a staff-promoting nature. Internal representation can only occur at two types of gatherings; Information meeting and staff party.
Other things that can be regarded as representation from a benefit perspective are meals at internal courses and conferences, coffee at internal meetings and gifts to staff.
An internal course and conference is a gathering that lasts longer than 6 hours. Travel time may be counted as work if it takes place during normal working hours.
In the case of representation, a purpose, complete list of participants and a detailed program for the conference/course/meeting must always be attached to the invoice. All representation must be agreed in advance with the immediate manager.

Staff photography
When you want to take a photo that can be used on Lnu.se, for magazines, publishers or the like, the university has two photo studios, one in Växjö and one in Kalmar.

Business travel
The University has a contract with a travel agency for booking travel, and all trips must be made in accordance with the travel policy that has been decided.
All trips must be agreed in advance with the immediate manager.
Keep in mind that journeys should be carried out in a climate-smart way, preferably by train or public transport.
Try to participate digitally in meetings or activities that last less than a working day.

Safety and fire protection
Crisis and security
If there is an emergency, first call SOS Alarm, emergency number 112 to reach the ambulance, fire department and the police!
How to act in the event of a crisis or accident is outlined on the Medarbetare/Staff front page under Crisis and security.
Fire
The university has a fire protection plan that specifies who is responsible for what in the event of a fire. At your introduction, your manager must inform you about the assembly point, should you need to evacuate the premises. Every year, a fire safety inspection is carried out in the faculty's premises.
In the event of fire or danger, all employees take joint responsibility for evacuation. In our premises, yellow high-visibility vests (marked with 'evacuation leader') are placed in all staff areas. In the event of a fire/danger, one of the employees who is on site puts on the vest and helps to get all employees out.
Teachers are responsible for ensuring that students have access out from the classrooms.
