Accounts at Linnaeus University

Comparison between different account types' access to services at Lnu
Staff accounts
Employees at Linnaeus University need a staff account to log in with and access different services and systems at the university.
For doctoral students, it is usually a Personal Account that is most suitable to order. The difference between Staff Account and External Account is that with the Personal Account you can access common groups on Medarbetare and email lists that are attached to the faculty.
Staff accounts connects to the wireless network called "eduroam".
Who can order staff accounts?
Only a contact person for staff accounts at your department or department can order staff accounts.
External accounts - for non employees who needs access to Lnu services
External account can be used when an external person needs access to services on Lnu, for example:
- MyMoodle
- Personal files and folders on P: (via VPN)
- Print / Copy on Lnu printers
- Medarbetare
- Wi-Fi (eduroam)
- log in to public computers in the lecture rooms
External accounts and Box
It is not possible to log in to Box (Lnu) with an external account.
With an External Account, you do not by default have access to groups at Medarbetare or e-mail lists. If there is a need for this, you may instead consider to order a Staff account.

Who can order external accounts?
All employees can order external accounts.
Guest accounts - for visitors who needs to log in to computers in the lecture rooms
If you have visitors, conference attendees or lecturers who need to be able to log in to the computers in the lecture rooms, they will need a guest account.
A guest account has a short validity period, a maximum of 14 days.
Guests can also retrieve a guest account themselves by visiting IT support and presenting an ID card. NOTE! The account is only valid for one day.
NOTE! No guest account is required to access Wi-Fi at the university. Guests log in with a private email address to "LNU-Guest" network.
Who an order guest accounts?
All employees can order guest accounts.
Guests can also pick up a guest account by visiting IT support and presenting identification. NOTE! The account is then only valid for one day.
Function accounts (function email address)
If you need an email address for a function of the university, for example registrator@lnu.se, it is a function of account you need. You can also use a funtion account to display events in the calendar on Lnu.se.

All employees can order function accounts.
Accounts for participants in Contract Education
Participants in a commissioned education need an account to be able to log in to MyMoodle or other services and systems at Linnaeus University.
As participants in commissioned education are not admitted through Antagning.se, accounts need to be ordered for them.
Who can order accounts for participants on contract education?
All employees at Linnaeus University can order accounts for contract education.
It is important that you have access to all participants' first and last name, social security number and e-mail address when ordering.

How do participants get the login information to the account?
They get their accounts by logging in with a one-time code at Linnaeus University's account portal. Information on how to get an account will be included with the one-time code.
When you order through the order form, you can choose if you want IT support to send the one-time code to the participants or if you want to hand out the code.
Student accounts
Students at Linnaeus University will have access to an account for students (Student account) that they use for login to student web, MyMoodle, student mail etc.
Students log in to Linnaeus University Account Portal to collect their account. They can either log in with their account to Antagning.se or order a one-time code in the portal.
The student must be admitted / registered / re-registered to be able to retrieve the student account.

How does it work for our international students?
International students can not use their login to Antagning.se or order a one-time code to retrieve a student account at Linnaeus University's account portal.
In order for international students to be able to retrieve their account, they need to receive a one-time code from IT support.
Here's how it works:
When the student's admission is being transferred to Ladok, the IT department sends two emails to the e-mail address they have specified at Antagning.se
The first email contains
- the social security number they have in Ladok
The second email contains
- a one-time code
- a link to the guide for how to get a student account
The one-time code, along with the social security number, is used to log in to Linnaeus University's account portal to retrieve the student account.
When an international student contacts us about not having received this information from us, it may be one of the following reasons:
1. The email has been handled as spam by the recipient's server. Ask the student to check their Junk Email box after the sender address noreply-otc@lnu.se.
2. They are checking in a mailbox with a different e-mail address than the one they specified in their application to Antagning.se. Ask them to look in the correct mailbox. If they want to change their email address, they do so at Antagning.se
3. The admission round has not yet been transferred to Ladok (this usually applies to the admission rounds HTXXXX / VTXXXX). See dates for when accounts can be retrieved:
If none of the above helps the student find the email, refer them to it-support@lnu.se and we will send the information to them.
Test account
If you as an employee need to be able to log in to a service with an account other than your staff account, for example if you need to see what it looks like for the students in a course room in MyMoodle, it is a test account you must order.
You can order both staff and student accounts as test accounts.
