Events mean activities, such as conferences, seminars, open lectures, dissertations, network meetings, dinner/banquet, student sittings or similar.

To ensure that these events are carried out in a positive, safe and secure manner, procedures and rules are required.

Before conferences/events

  • If, at larger events/conferences, i.e. 100 participants and up, there is a probable risk through, for example, a known lecturer/participant, controversial topic, threat or other security risk, a risk analysis must be carried out together with the security coordinators at Premises and Services.

  • Some lecturers may require special measures. The police will assess whether any extra security measures are needed.

  • In case of uncertainty, contact the security coordinators at Premises and Services for consultation. If the event is deemed too risky or that you do not want to bear the cost of security guards, the event can be cancelled.

  • When assessing any risk, special consideration shall be given to the choice of premises.

During conferences and events

  • At each event, there must be an event manager who is also on site throughout the event. The limit for managing an event as sole responsible is normally 50 people.

  • Events must never exceed the personal restrictions of the venues, which is also important for open events.

  • In connection with the conference/event, check and inform about evacuation routes and assembly points, especially if there are people who are not usually on the premises.

Event tips

  • Do not exceed the number of people for which the premises are authorised.
  • Ensure that escape routes are clear, and follow fire safety and premises rules.
  • Identify the defibrillators, evacuation routes and ambulance address in advance.
  • If possible, organise a briefing with everyone involved in the conference/event on safety aspects.
  • Communicate who is ultimately responsible on site - everyone should know who makes quick decisions during the conference/event.
