Deletion of Surveys and reports

All large systems with many users and years of usage accumulate a significant amount of data. How this data can or must be stored is regulated by various laws. From the university's perspective, we need a data retention strategy, and this page describes how it applies to our survey system, Survey & Report.Here, you will find information on when and how surveys and reports are deleted, so you can be prepared for when data may be removed.

Data Retention Strategy

The data stored in our survey system, Survey & Report, can be categorized into two groups at a system level: automatically generated course evaluation surveys and other surveys. The category "other surveys" includes all manually created surveys, such as research surveys, evaluations, registration forms, etc. The deletion process for surveys in these two categories will differ.

Automatically generated course evaluation surveys and associated reports will be automatically deleted after three years.

Other surveys and their associated reports will be automatically deleted when the survey no longer has an owner or an authorized user linked to it. As long as a survey has an owner or an authorized user, it will remain in the system. Therefore, it is important for users to manually delete respondents, survey responses, and surveys that no longer need to be retained. If an employee leaves, it is also crucial to review whether there are surveys that someone else needs access to so that they are not deleted when the departing employee’s account is removed.

When a person no longer has an Lnu account (when the Lnu account is removed), the user will also be automatically removed from Survey & Report.

All deleted surveys will first be placed in a recycle bin for 180 days before being permanently deleted. During this 180-day period, it is possible to restore surveys in exceptional cases.

Research Data

There are additional laws and regulations governing research data. The most important thing to be aware of is that Survey & Report is not a storage platform for research data. Once your research data collection in Survey & Report is complete, it must be exported and stored in an appropriate system.
