Refer the phone
Here you will find guides on how to refer (enter absence notices) on your phone. Referring the phone when you are not able to receive calls is important for the PBX to be able to give the right message to the caller and so that no one has to call unnecessarily. The referral is for your landline phone number. To refer your mobile number as well, a complete reference is needed, see info below.

Change activity
Click on Activity, the activity view opens. Select the activity and the activity will change immediately. To set an end time, click on the dots and the custom activity view opens. After the end time, you automatically return to a default status. (NOTE! No matter where you are in the app, you can access the activity view by swiping or tapping the handle on the right).
Post a message
If you want to attach extra information to your activity, you can add a note (e.g. "working from home"). Click on your name and write your note in the note field and then click on the checkmark.
Change role
If you want to change the role (which number is visible when you call), click on your name and select the role and then click on the checkmark.
Shortcuts
In Task view, you can manage shortcuts for tasks. To add a shortcut, click + Add a new shortcut, and to edit or delete a shortcut, click and hold the desired shortcut, select edit or delete.
Referral via Outlook
You can add an appointment to Outlook's calendar that provides a reference of the phone during the time that the activity is in progress. There are two different ways to do this:
1. Add a new appointment to your calendar in Outlook. At the View As heading, select Out of Office. Within about 7 minutes, a referral will be on your phone. NB! If you do not show as absent but as busy, for example, no referral will be activated in the phone.
2. You can also use special codes to refer the phone via Outlook. You will then create a new appointment in the calendar. In the subject line, type one of the codes below, followed by a colon.

Also for this referral, it may take a while (up to about 7 minutes) before the connection is completed and the referral is on the phone.
Full Reference
In the referrals described above, it is your landline phone number that is referred. If someone calls on the mobile number, they will bypass the referral.
To get a complete referral, where you also refer your mobile number, contact the Service Center and we will add that referral form.
Future presence
To create a future and/or recurring activity, go into the Future Attendance view and click +, enter your selections, and click Done. To edit or delete an activity, click it. (NOTE! Here you can also see your calendar bookings, these are not editable).
